An exciting opportunity has arisen to join the Adult Social Care and Health Executive Office as Executive Assistant.

You will provide a high-quality and efficient executive support service to the Deputy Chief Executive/Corporate Director of Adult Care and Health and Directors within the service. You will work at the centre of a busy directorate, helping senior leaders manage competing priorities and ensuring that key activities, meetings, correspondence and actions are effectively coordinated. 

Key responsibilities will include:

  • Providing comprehensive executive support, including proactive diary management and preparation for appointments, meetings and events
  • Supporting the effective management of senior officers’ inboxes by organising and prioritising correspondence
  • Coordinating work and activities that support the priorities of the Deputy Chief Executive/ Corporate Director and Directors
  • Preparing and drafting professional emails, correspondence, reports, documents and presentations
  • Compiling and distributing agendas and supporting papers, recording key actions and proactively monitoring progress
  • Arranging and servicing online and in-person meetings, including Directorate Management Team meetings and Cabinet Member briefings
  • Liaising professionally with senior officers, elected members, partner organisations and internal and external stakeholders
  • Responding to public and internal enquiries, including Freedom of Information and Subject Access Requests, in accordance with relevant procedures.
  • Coordinating orders, invoices, travel and accommodation using the Council’s corporate systems
  • Reviewing and improving administrative processes, making effective use of technology and identifying opportunities for automation and greater efficiency
  • Exercising initiative and independent judgement to resolve issues, manage priorities and escalate or delegate urgent matters appropriately 

The role also includes managing and supporting a small team of Personal Assistants, an Apprentice and Business Support colleagues within the Adult Social Care and Health Directorate. You will help allocate duties and priorities and support recruitment, training, development, attendance and other employee matters within the team. 

About you

We are looking for a proactive, highly organised and professional individual who can work effectively in a pressured and time-sensitive environment.

You will have:

  • An NVQ Level 4 qualification, an equivalent qualification or equivalent relevant experience
  • Experience of providing comprehensive executive support to senior leaders, including diary management, mailbox management, correspondence and action coordination
  • Experience of managing competing demands while maintaining accuracy and attention to detail.
  • Strong organisational, written and verbal communication skills
  • The ability to exercise initiative, solve problems and work with minimal supervision
  • Experience of developing or improving administrative processes and using technology to maximise performance
  • Confidence in liaising with elected members and public and private sector partners
  • A thorough working knowledge of Microsoft Office applications, including Outlook, Word, Excel, PowerPoint and Microsoft Teams
  • An understanding of confidentiality and the ability to handle sensitive information appropriately.
  • A flexible and proactive approach, with the ability to meet strict deadlines and respond to changing business priorities

Experience of supervising or coordinating the work of colleagues, organising complex meetings or events, and producing minutes, reports, agendas and presentations would support success in this role.
